This Privacy Policy describes how NotaryOfficial.com, operated by Stellar Ventures LLC ("we," "us," or "our"), collects, uses, and protects information when you visit our website at www.notaryofficial.com (the "Site"). By using the Site, you agree to the practices described in this policy.
INFORMATION WE COLLECT
Visitors
When you browse the Site, we may automatically collect standard server log data, including your IP address, browser type, pages visited, time spent on pages, and referring URLs. This information is used solely to analyze traffic patterns and improve the Site experience. It is not linked to any personally identifiable information.
Notary Members
When a notary registers for a listing account, we collect the information you provide, including your name, email address, phone number, business name, and service address. This information is used to create and display your public listing and to communicate with you about your account. Your contact information (excluding your email address, which is never publicly displayed) may be visible to visitors of the Site as part of your listing.
If you register or log in using Sign in with Google or Sign in with Apple, we receive your name, email address, and a unique account identifier from that provider in order to create and authenticate your account. We do not receive your password or any other account credentials from Google or Apple.
Payment Information
All payments are processed securely by Stripe, Inc., a PCI-DSS compliant payment processor. We do not store, transmit, or have access to your full credit card number, card verification codes, or bank account details. Stripe's privacy policy is available at stripe.com/privacy. We retain records of transaction amounts, dates, and subscription status for billing and accounting purposes.
Location Information
Our "Notaries" map search feature can determine your approximate or precise location in two ways:
- Approximate location — derived from your IP address via our content delivery network (Cloudflare), used automatically to center the map near you when you first arrive.
- Precise location — if you tap the "locate me" button, your browser will ask permission to share your device's GPS location. We only request this when you take that action; it is never accessed automatically or in the background.
Location data is used solely to show you nearby notary listings on the map and is not stored on our servers. Your browser may save your last map position locally on your own device (see Cookies, below) so the map opens where you left off next time — this stays on your device and is never transmitted to us.
COOKIES AND LOCAL STORAGE
We use cookies and similar technologies (including your browser's local storage) to maintain session state, remember your login, and understand how the Site is used. For example, the map search feature saves your last viewed location in your browser's local storage so it can restore that view on your next visit — this data stays on your device and is not sent to our servers.
We also allow Google to use cookies to serve ads and measure Site usage, as described under Advertising, below. You may configure your browser to refuse cookies; however, some features of the Site — including member login — may not function correctly without them.
HOW WE USE YOUR INFORMATION
- To create and display your public notary listing
- To process payments and manage your subscription
- To send transactional emails related to your account (approval, rejection, billing)
- To respond to support requests submitted through our contact form
- To geocode your service address for map display, using the Google Geocoding API
- To show you nearby notary listings when you use our map search feature
- To detect and prevent spam and fraudulent submissions, using Google reCAPTCHA
- To diagnose and fix errors on the Site, using Sentry error monitoring
- To analyze aggregate Site usage and improve our services, using Google Analytics
- To display advertising on the Site, using Google AdSense
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
ADVERTISING
We use Google AdSense to display advertisements on the Site, and Google Analytics to understand how visitors use it. Google and its advertising partners use cookies to serve ads based on your prior visits to this Site or other websites, and to measure ad performance. This means Google may use data about your visits here (and to other sites) to show you ads it believes are relevant to you, elsewhere on the web.
You can opt out of personalized advertising by visiting Google Ads Settings, or opt out of participating third-party vendors' use of cookies for personalized advertising by visiting www.aboutads.info/choices.
THIRD-PARTY SERVICES
We use the following third-party services that may process data in connection with your use of the Site:
- Stripe — payment processing (stripe.com/privacy)
- Google Geocoding API — converting addresses to map coordinates for listing display
- MapTiler / MapLibre GL JS — rendering interactive maps in your browser
- Google Fonts — loading the Poppins typeface
- Google Sign-In / Apple Sign-In — optional account registration and login
- Google reCAPTCHA — spam and bot prevention on our contact and reporting forms
- Google Analytics — aggregate Site usage and traffic analysis
- Google AdSense — displaying advertisements on the Site (see Advertising, above)
- Sentry — error monitoring, to help us diagnose and fix technical issues
- Cloudflare — content delivery and, for our map search feature, approximate location based on your IP address
Each of these services operates under its own privacy policy. We have no control over how these providers handle data beyond our use of their APIs.
DATA RETENTION
We retain your account and listing information for as long as your account is active. If you delete your account through the member portal or contact support to request removal, your personal information and listing will be permanently deleted from our systems. Billing records may be retained for a period required by applicable law.
SECURITY
We implement reasonable technical and organizational measures to protect the information we collect. All data transmitted between your browser and our servers is encrypted via TLS (HTTPS). However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
CHILDREN'S PRIVACY
The Site is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
CHANGES TO THIS POLICY
We reserve the right to update this Privacy Policy at any time. Changes will be posted on this page with an updated date. Your continued use of the Site after any changes constitutes acceptance of the revised policy.
